Job Title: Scheduling Manager

Position Summary:
The Scheduling Mananger will be responsible for overseeing the scheduling of appointments, projects, or operations across the company, ensuring timely and efficient use of resources. You will manage a team of scheduling coordinators, maintain calendars, handle complex scheduling requests, and ensure smooth coordination between departments.

Key Responsibilities:

  • Lead and supervise the scheduling team, ensuring that schedules are created, maintained, and updated efficiently.

  • Coordinate and prioritize scheduling requests, making sure that all resources (personnel, equipment, etc.) are utilized effectively.

  • Communicate with internal teams and clients to confirm appointments, resolve scheduling conflicts, and address any changes or issues that arise.

  • Develop and implement processes for optimizing scheduling operations and reducing inefficiencies.

  • Maintain up-to-date records and reports related to schedules, resource allocation, and team performance.

  • Identify and troubleshoot any scheduling issues that arise and take proactive steps to mitigate them.

  • Analyze scheduling data to forecast resource needs and trends.

  • Provide training and guidance to the scheduling team, ensuring they have the tools and support needed for success.

  • Collaborate with other departments to ensure that schedules align with broader business goals and project timelines.

Requirements:

  • Bachelor’s degree in Business, Operations, or a related field (or equivalent experience).

  • Proven experience as a scheduling manager, coordinator, or in a similar role.

  • Strong organizational skills and the ability to manage multiple priorities and deadlines.

  • Excellent communication and interpersonal skills, with the ability to work with a variety of teams and departments.

  • Proficiency in scheduling software and tools (e.g., Microsoft Excel, Google Calendar, scheduling platforms).

  • Strong problem-solving abilities, with attention to detail.

  • Ability to lead, train, and motivate a team of scheduling coordinators.

  • High level of professionalism and discretion when dealing with sensitive information.

Preferred Qualifications (Not Required):

  • Familiarity with project management or resource planning software.
